Job Summary and Qualifications

The Manager, Risk Management / Patient Safety is responsible for assisting the Director of Patient Safety / Risk Management with directing, planning, organizing, and leading the following programs, activities, and functions at St. David’s Medical Center:

  • Patient Safety
  • Risk Management
  • Patient Relations

The Manager, Risk Management / Patient Safety reports to and is supervised by the Director of Patient Safety / Risk Management. The Manager’s responsibilities include assisting with managing complex systems and programs; handling highly confidential and sensitive information; and regularly interacts with difficult situations and persons for the above programs.

1.Assists with managing department administrative duties.

  • Provides input for developing and reviewing hospital and/or department policies and procedures for compliance and effectiveness.
  • Provides input for developing, implementing, reviewing, and monitoring goals, objectives and priorities, ensuring alignment with hospital strategic plans.
  • Attends and participates in meetings or committees as scheduled or requested and completes timely reports and follow-up.
  • Facilitates departmental quality, PI, patient safety, risk, HCA PSO (Patient Safety Organization), and other activities.
  • Monitors regulatory compliance for functions and provides input for improvement to maintain and improve compliance.
  • Maintains knowledge and access to program and plan information, requirements, reporting, etc. Examples include insurance, claims, product recalls/alerts, complaints, etc.
  • Ensures meetings are scheduled, agendas developed, and minutes, reports, documents of meetings and activities are recorded and maintained.
  • Performs other tasks as indicated or directed.

2.Program administration and management.

  • Assists with performing overall hospital program assessments at least annually.
  • Provides input, data, and recommendations for program plans and goals for the next year.
  • Assists with ensuring programs meet requirements and enhance operations improvements.
  • Assists Director with HCA Clinical Safety Improvement Program (CSIP) and ensures all reporting timelines achieved, unless approved otherwise.
  • Manages an ongoing hospital-wide process to collect and evaluate data and information about hazards and safety practices.
  • Manages or assists in resolution of patient issues, complaints, grievances, incidents, etc.
  • Coordinates with Director, senior and other leadership on developing improvement plans or corrective action.
  • Promotes safety and other education for all hospital staff. Assists or develops policies, procedures, and training materials.
  • Assists staff and others with conflicts, issues, and responds to adverse patient outcomes and other incidents, complaints.
  • Consults with hospital staff on patient, risk, compliance, and safety issues and regulations.
  • Reviews safety suggestions and recommends action to the appropriate parties.
  • Appropriately accesses secured rooms with locked medication storage containers in order to perform assigned job function, which does not include management of medications or patient care.
  • Intervenes during a hazardous occurrence to prevent personal injury and/or damage to equipment or building. Notifies Director and Administration of this action.
  • Provides assistance and support to the Director in program activities.

3. Program data management, systems analysis, and reporting.

  • Manages and/or develops data collection and reporting systems, processes.
  • Assists with implementing plans for improvement based on assessments and improvement opportunities.
  • Assists with developing timely trend reports for appropriate hospital leadership, medical staff, Board, committees, etc.
  • Develops and submits reports to the Director, HCA Risk & Patient Safety, HCI, etc. as necessary.
  • Assists with reviewing, updating, and maintaining loss run reports, legal case summaries.
  • Collaborates with Director, other leadership, physicians, contractors, staff, etc. to identify improvements.
  • Assists with meeting accreditation and regulatory compliance, SMDA, patient safety, ethics and compliance, environment of care, and other reporting requirements.

4.Complaints, claims and event administration.

  • Protects confidentiality and access to information and files and secured devices.
  • Manages situations for excellent patient and customer relations.
  • Requests Director’s authorization to delay or eliminate patient billings, as appropriate, until investigation of complaints, events, problems, or claims and/or resolution as indicated or completed.
  • Assists Director with providing proactive, timely notices and submitting reports to Director, senior and other leadership, legal counsel, HCI, etc. in the event of critical adverse events, serious or reportable events, complaints, etc.
  • Provides notification of potential or active claims to HCI Claims Department after approval from Director.
  • Assists Director and coordinates with Quality and other departments/committees for data / information collection, report development, etc., including for SEAs, RCAs, SMDA/FDA, legal cases, etc.
  • Maintains statistics and files, e.g. events, claims, complaints, complaint log, external reporting requirements, etc.
  • Assists Director in coordinating with HCI, leadership, medical staff, contracted investigators and defense attorneys in investigation and defense of claims, events, complaints, etc.
  • Assists Director with completing interrogatories, requests for production, requests for explanted or malfunctioning devices, or other litigation assistance.
  • Assists with scheduling interviews and depositions with hospital staff.

•Monitors claims, complaints status until closure. •Assists Director with resolution of occurrences, reportable events, and complaints.

  • Assists with obtaining and sequestering medical records and other files, data, information.

5. Insurance.

  • Submits insurance additions/deletions and claims in coordination with Director.
  • Obtains and maintains facility and facility-insured practitioners in coordination with Director.
  • Provides facility-insured practitioners and Medical Staff with respective certificates.
  • Maintains insurance files.

What qualifications you will need:
  • Baccalaureate degree (healthcare related degree preferred).
  • Minimum three years healthcare experience and three years in complaint, patient safety, risk management, quality, or medical staff experience.
  • Comfortable and skilled at working with physicians, health care providers, and other stakeholders in the organization. Capable of gaining immediate credibility with individuals through experience, presentation, communication skills, empathy and compassion. Analytical skills including a working knowledge of basic statistics and statistical analysis. Knowledge of PC based computer software, e.g. Excel, Word, PowerPoint and/or similar systems. Ability to work with supervision independently and interdependently. Basic knowledge and familiarity with healthcare related operations, systems, regulatory and accreditation requirements.

This comprehensive medical center features the only hybrid operating room in the county, a 24-hour emergency department with a Level II trauma center, and leading-edge cardiac care through the Heart Hospital of Austin at St. David’s Round Rock.
